Heard bundles software and bookkeeping for health and wellness practices, with tax filing included on its Essential and Premium plans and available as an add-on on Lite, and for a solo cash-pay therapist who wants one bill, it is a reasonable choice. People look for alternatives for a few specific reasons: their practice has more than one owner, which Heard’s FAQ says it does not serve; they want their books in their own QuickBooks Online account; they need insurance reconciliation or group-practice work handled in depth; or they want a different price or a different tax arrangement.
The right alternative depends on which of those is driving the search. Therapist-focused accounting firms bundle books and returns, solopreneur platforms bundle an S corp back office, Intuit sells its own bookkeeping inside QuickBooks Online, general small-business services offer flat published pricing across industries, and software handles tracking for the simplest practices. Wellness Fi’s published plansFits: Solo therapists running as an LLC or S corp who want formation, automated bookkeeping, owner payroll, and the S corp return in one subscription.
As listed on their site (September 2026): LLC $199/month and S Corp $349/month billed monthly (15% off yearly). The S Corp plan includes Form 2553, the 1120-S, and member and contractor payroll.
Worth knowing: Plans are described as built for solopreneurs.
bookkeepz vs. Collective, side by sideFits: Practices that want general bookkeeping sold and run by Intuit inside QuickBooks Online, with tax work handled elsewhere.
As listed on their site (September 2026): Expert Full Service Bookkeeping starting at $300/mo after an initial cleanup fee, with a dedicated QuickBooks-certified bookkeeper. Tax preparation and filing are not included.
Worth knowing: Intuit’s page says the full-service tier excludes invoicing, bill pay, and receivables and payables management.

As listed on their site (September 2026): Tax Advisory $209/mo, Starter $299/mo (personal return plus one entity return), and Business Complete $469/mo (adds full-service bookkeeping with a dedicated bookkeeper starting at 75 monthly transactions), each billed annually.

1-800Accountant’s published plansFits: Practices that want cash-basis books with AI categorization and are comfortable with a standard chart of accounts.
As listed on their site (September 2026): Essentials $99/month for up to $100,000 in monthly expenses, described as AI categorizing transactions, reconciling accounts, and closing books monthly. Tax filing is priced separately, starting at $1,000+/year for single member LLCs and $2,000+/year for partnerships and S corps, billed annually, and Pilot’s page says it must be purchased with Pilot Bookkeeping.

Pilot’s published plansFits: Solo, cash-pay therapists or 1099 contractors who mostly need deductions tracked and a return filed, and are comfortable with software doing the categorizing.
As listed on their site (September 2026): Monthly $20/mo (tracking only, tax filing not included), Standard $199/yr (federal plus up to two state returns, reviewed and signed by a tax pro), Premium $399/yr, and Business $1,199/yr for S corps and partnerships.

Start with ownership and structure. If your practice has a partner, rule out anything that does not serve practices with more than one owner before comparing prices. If you employ or contract other clinicians, ask each provider how they track associate pay and supervisee splits, and ask to see a sample monthly report.
Then ask where the books live and who does the work. A dedicated bookkeeper in your own QuickBooks Online account, a bookkeeping team behind a platform, and software that categorizes for you are three different products, and they leave you with different records if you ever switch.

Heard’s FAQ states it does not work with practices that have multiple owners. Among the options on this page, TL;DR: Accounting lists custom pricing for partnerships, and bookkeepz keeps per-owner profit allocations in the books for group practices. Ask any provider directly how they handle books for a practice with more than one owner.

For any provider, ask whose account the books live in and what you can export if you leave.
